The Aviator respects your privacy and is committed to protecting your personal data. This privacy policy explains how The Aviator uses any personal information we collect about you when you use this website, including any data you may provide when you sign up to a mailing list, purchase a product or service, take part in a survey or enter a competition.

The Aviator (“we” or “us”) collect, use and are responsible for certain personal information about you. When we do so we are regulated under the General Data protection Regulations which apply across the European Union (including the United Kingdom) and we are responsible as “controller” of that personal information for the purposes of those laws.

The personal information we collect and use
Personal data, or personal identification information, means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data about you when we obtain that data and during the course of any relationship we might have with you.

We collect information about you when you contact us about our products and services, subscribe to our marketing from us, submit an enquiry/booking, book onto one of our events or when it is passed to us by your employer as part of a booking. We also collect information when you voluntarily complete customer surveys, provide feedback and participate in competitions. The legal basis for the processing of your personal data is your consent and/or any other applicable legal basis, such as our legitimate interest in engaging in business with you. Any consent you provide may be withdrawn at any time by following the contact methods listed below. Website usage information is collected using cookies.

The personal information we collect might include your name, address, company name, phone numbers, email address, IP address, and information regarding what pages are accessed and when. If you make a booking online, or a third party payment directly through Staah your card information is not held by us, it is collected by or passed to our third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions.
We review our retention periods for personal information on a regular basis. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.
If you fail to provide personal data
Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have (or are trying to enter into) with you (for example, to provide you with goods or services). In this case, we may have to cancel access a product or service you wish to obtain from us but we will notify you if this is the case at the time.
How we use your personal data
We will only use your personal data when the law allows us to. We collect information about you to process your enquiry/booking, manage your account and, if you agree, to email you about other products and services we think may be of interest to you.
The Aviator Hotel Ltd will not sell or rent your information to third parties and will not share your information for marketing purposes with companies outside Sywell Aerodrome Group Ltd.
Data security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

In addition, we limit access to your personal data strictly to those employees, agents, contractors and other third parties who have a need to know that data in order to further the transaction in which we are both concerned. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so and in a format and within timescales stipulated by the applicable regulator or the applicable data protection legislation.
Marketing
We would like to send you information about products and services of ours and other companies in our group which may be of interest to you. If you have consented to receive marketing, you may opt out at a later date.

You have a right at any time to stop us from contacting you for marketing purposes. If you no longer wish to be contacted for marketing purposes, please notify us via email to info@sywellaerodrome.co.uk. Any email address that have been opted-out of marketing communications, will be retained in a ‘suppression list’ for the purpose of ensuring they do not receive further emails and that your preferences are respected in the future.

Where you opt out of receiving these marketing communications, this will not apply to personal data provided to us as a result of any sort of transaction that we have undertaken with you and which we are entitled by law to keep for durations determined by statute and the common law.
How long will we retain your personal data?
We will only retain your personal data for as long as necessary to fulfil the purposes for which we collected it; including for the purposes of any legal, accounting, or reporting requirements following its legitimate use.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data (and whether we can achieve those purposes through other means) and the applicable legal requirements.
For example; by law we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for 7 years after they cease being customers for tax purposes and in order to defend ourselves against any contractual claims arising from the transaction in question or the end of the contractor other relationship.
